Supplier code of conduct

1. Purpose

The Adaptavist Group expects suppliers to conduct business ethically, responsibly and in compliance with applicable laws.
This Code sets out the minimum environmental, social, ethical and governance standards expected of organisations supplying goods or services to The Adaptavist Group.

2. Scope

This Code applies to all suppliers, contractors, consultants, service providers and business partners providing goods or services to The Adaptavist Group.
Suppliers are encouraged to promote equivalent standards throughout their own supply chains where proportionate and appropriate.

3. Human rights and labour

Suppliers must:
  • Respect internationally recognised human rights.
  • Prohibit modern slavery, forced labour and human trafficking.
  • Prohibit child labour.
  • Provide lawful wages, working hours and employment conditions.
  • Maintain safe and healthy workplaces.
  • Promote equal opportunity and prohibit discrimination, harassment and abuse.
  • Respect freedom of association and collective bargaining where legally recognised.
  • Provide appropriate mechanisms for workers to raise concerns.

4. Environmental responsibility

Suppliers should:
  • Comply with applicable environmental legislation.
  • Manage significant environmental impacts appropriate to the nature of their business.
  • Seek to improve energy efficiency and resource use.
  • Minimise waste and encourage reuse and recycling where practical.
  • Measure and seek to reduce greenhouse gas emissions where appropriate.
  • Provide relevant environmental information to The Adaptavist Group upon reasonable request.

5. Ethics and business integrity

Suppliers must:
  • Conduct business honestly and with integrity.
  • Prevent bribery, corruption and fraud.
  • Avoid conflicts of interest relating to The Adaptavist Group.
  • Comply with applicable anti-money laundering and competition legislation.
  • Maintain appropriate mechanisms for reporting concerns.
  • Protect individuals who raise concerns in good faith from retaliation.

6. Information security and data protection

Where suppliers process or access The Adaptavist Group information, they must:
  • Protect confidential information and personal data.
  • Maintain appropriate technical and organisational security controls.
  • Comply with applicable data protection legislation.
  • Ensure subcontractors handling The Adaptavist Group information apply equivalent standards.
  • In case of a data breach, notify security@adaptavist.com immediately.

7. Responsible supply chain

Suppliers should:
  • Promote responsible business practices throughout their own supply chains.
  • Assess significant ESG risks where proportionate.
  • Share relevant ESG information with The Adaptavist Group upon reasonable request.

8. Compliance

The Adaptavist Group may assess supplier alignment with this Code through proportionate due diligence activities, including policy reviews, certifications, questionnaires or other appropriate evidence.
Where opportunities for improvement are identified, The Adaptavist Group will normally work collaboratively with suppliers to agree appropriate actions.
Serious or repeated breaches of this Code may result in review or termination of the commercial relationship.

9. Roles and responsibilities

ESG team

  • Maintains this Code.
  • Supports supplier ESG assessments.
  • Reviews this Code periodically.

Procurement and budget holders

  • Consider this Code during supplier selection and ongoing supplier management where appropriate.
  • Escalate significant supplier ESG concerns.

Suppliers

  • Comply with the principles of this Code.
  • Cooperate with reasonable due diligence activities.
  • Notify The Adaptavist Group where they become aware of significant breaches relevant to services provided to The Adaptavist Group.
